Introduction
RouteFlex LLC ("RouteFlex," "we," "us," or "our") operates the RouteFlex platform: software built for FedEx Pickup and Delivery (P&D) contractors to manage driver hiring, route scheduling, dispatch, payroll, and safety monitoring. This Privacy Policy explains what information we collect, why we collect it, and how we use and protect it.
By accessing or using the Service, you agree to the collection and use of information as described here. If you do not agree, please discontinue use of the Service.
"You" refers to the contracting business entity subscribed to RouteFlex and any individuals who access the Service on that entity's behalf, including managers, dispatchers, and drivers.
Information We Collect
We collect information in three ways: information you provide directly, information generated by your use of the Service, and information from your devices.
Account and contact information
When you register or contact us, we collect your name, company name, email address, phone number, billing address, and payment details. Drivers added to your account provide their name, contact information, and relevant employment information.
Usage data
We record how you interact with the Service: pages and features accessed, routes and schedules configured, timestamps, actions taken, and session duration. This data helps us understand how the product is used and where we can improve it.
Device and log data
We automatically collect technical data including IP addresses, browser type and version, operating system, referring URLs, and error logs. This information is used to diagnose problems and maintain service reliability.
How We Use Your Information
We use the information we collect for the following purposes:
Operating the Service. Provisioning your account, processing transactions, delivering platform features, and providing customer support.
Communications. Sending onboarding materials, product announcements, support responses, and critical security or service notices. You may opt out of non-essential communications at any time.
Analytics and improvement. Analyzing usage patterns to improve reliability, performance, and the overall product experience. We do not build behavioral profiles for advertising.
Legal obligations. Complying with applicable law, regulations, and lawful requests from governmental authorities.
SMS / Text Messaging
RouteFlex sends SMS text messages to job applicants and drivers on behalf of the contracting businesses that use the Service. This section explains how that messaging program works and how we handle the mobile information connected to it.
Consent and message types
We send text messages only to individuals who have opted in, such as by applying for a job opening or otherwise providing their mobile number and agreeing to receive messages. Messages may include application status updates, interview reminders, job status updates, and support replies. Message frequency varies based on your application activity. Message and data rates may apply.
Opting out
You can cancel SMS messages at any time by replying STOP to any message. After you reply STOP, we send a single confirmation and then stop sending texts. Reply HELP for assistance, or contact us at support@routeflex.ai.
How we handle mobile information
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with the subcontractors who support our messaging, such as our messaging platform and customer service providers, is permitted solely to deliver the Service on our behalf. All other categories of use exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Data Security
We use industry-standard safeguards to protect your information. All data is encrypted in transit using TLS and encrypted at rest. Access to your data is restricted to personnel who need it to perform their job functions, and we require authentication controls across our systems.
We conduct regular security assessments and address identified vulnerabilities promptly. However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.

Data Retention
We retain your account and operational data for as long as your account is active or as needed to provide the Service. System log and diagnostic data is typically retained for 90 days.
After account closure, we retain records for up to two years to satisfy legal and compliance obligations, resolve disputes, and enforce our agreements. We may retain information longer when required by applicable law.
When data is no longer needed, we delete or anonymize it in accordance with our internal data lifecycle procedures.
Your Rights
Depending on your jurisdiction, you may have the following rights with respect to your personal information:

Children's Privacy
The Service is a business tool designed for adults operating FedEx P&D contracting businesses. We do not knowingly collect personal information from individuals under the age of 18.
If you believe we have inadvertently collected information from a minor, contact us at support@routeflex.ai and we will promptly delete the information.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors.
For material changes, we will notify you by email or by posting a prominent notice within the Service at least 14 days before the changes take effect. The effective date at the top of this page reflects when the current version was published.
Your continued use of the Service after the effective date of a revised policy constitutes your acceptance of the changes. If you disagree with a revised policy, you may terminate your account before the changes take effect.
